Programs Operations Coordinator
Hours: 30 hours/week (with potential to grow to full-time)
Compensation: $28–$30 per hour
Location: Austin, TX (hybrid)

About Us
Giving Austin Labor Support (GALS) is a community-rooted organization advancing birth and maternal health equity through culturally relevant, community-led care. Founded in 2008 as a grassroots response to people birthing without support in Central Texas, GALS now delivers integrated perinatal programs—including doula care, perinatal childcare, workforce development, and systems change work—that center the experiences of Black, Latine, Indigenous, immigrant, and low-income families.
Position Summary
The Programs Operations Coordinator strengthens the day-to-day operations of GALS’ birth support, childcare, education, basic needs, and collaborative programs. This role ensures that systems run smoothly, data is managed accurately, supplies are organized, and communication flows across teams.
The ideal candidate is highly organized, detail-oriented, proactive, and passionate about supporting a coordinated, high-quality careworker workforce. They love logistics, efficiency, and making systems work for the people who rely on them.
Key Responsibilities
Program Operations & Logistics
Support scheduling, coordination, and operational needs across GALS programs.
Create and/or maintain organized manuals, forms, documentation, and protocols.
Maintain organized internal systems, including calendars, workflows, and shared communication channel (Mighty Networks).
Prepare materials, supplies, and resources for trainings, meetings, birthworkers, childcare specialists, and program events.
Help coordinate and assist with day-of support for trainings, continuing education sessions, and careworker support gatherings.
Data, Documentation & Communication
Support accurate and timely collection and entry of program data in Apricot.
Assist the Data & Evaluations Director with pulling reports, gathering client feedback, and tracking outcomes.
Assist in billing processes for care worker payments and invoicing process for external contracts.
Maintain organization of Google Drive and organizational files, records, and program documents, ensuring confidentiality and compliance with data protection guidelines.
Support directors in drafting internal communications, reminders, and updates to program teams as needed, with occasional external communications support as well.
Staff & Program Support
Assist with onboarding tasks for new doulas, childcare specialists, and program staff (e.g., paperwork, document collection, scheduling orientation).
Assist in updating contractor files as needed, ensuring internal and external compliance with training and certification.
Support ongoing communication with program teams, ensuring they have the tools and information needed.
Provide administrative support to the Data & Evaluations Director and Programs Directors for special projects.
Qualifications
Experience: 2+ years of administrative or operations experience, preferably in a nonprofit or community-based setting
Skills:
Excellent organizational skills and attention to detail
Effective verbal and written communication
Proficiency with Google Workspace and basic project management tools
Ability to work independently and collaboratively in a fast-paced, community-centered setting
Alignment with trauma-informed practices, reproductive justice, and equitable care for families.
Preferred:
Experience in program coordination, nonprofit operations, community health, or similar fields preferred.
Comfort with data systems, spreadsheets, forms, and digital communication tools
Experience with Mighty Networks, Apricot, Neon CRM
Spanish proficiency is a plus but not required.
Schedule
30 hours per week, hybrid.
Some evenings or weekends as needed for events, trainings, or program support.
Opportunity to grow to full-time based on organizational needs and funding.
